What personal data do we process?

Depending on your capacity, we collect the following personal data:

From customers:

  • General identification data (such as name, salutation, title/position, address, mobile phone and/or telephone number, e-mail, assigned identification data);
  • Financial identification data (such as identification and bank account numbers);
  • Financial resources (such as assets) and solvency (based on public data);
  • Financial transactions (such as amounts due and paid by the person listed)
  • Compensations;
  • Professional activities (including nature of activity, nature of goods/services used or provided by the listed person, business relations);
  • Social contacts (in terms of referrals);
  • Use of media and communication tools;
  • Memberships (other than professional, political or trade union);
  • Contracts and agreements with INPICO NV;
  • All other personal data that customers lawfully make available to INPICO NV;

From prospects:

  • General identification data (such as name, salutation, title/position, address, mobile phone and/or telephone number, e-mail, assigned identification data);
  • Professional activities (including nature of the activity, nature of the goods/services used or provided by the person listed in the file, business relations) ;
  • Any other personal data that prospects lawfully make available to INPICO NV;

From suppliers:

  • General identification data (such as name, salutation, title/position, address, mobile phone and/or telephone number, e-mail, assigned identification data);
  • Financial identification data (such as identification and bank account numbers)
  • Financial transactions (such as amounts due and paid by the person included in the file)
  • Compensations;
  • Professional activities (including nature of activity, nature of goods/services provided by the person listed, business relationships);
  • Agreements and understandings with INPICO NV;
  • Any other personal data that suppliers lawfully make available to INPICO NV;

If you provide us with personal data of a third party, such as your:

  • staff;
  • independent employees;
  • directors;
  • representatives;
  • customers
  • suppliers;

then you guarantee to INPICO NV that:

  • this personal data has been lawfully obtained from the third party and lawfully provided to INPICO NV;
  • you have provided INPICO NV with personal data that are up to date;
  • you have provided this person with relevant information about the existence and content of this Policy.

Why do we process personal data (purposes)?

Personal data is processed for the following purposes:

Executing the agreement

  • The correct execution of the agreement;
  • Preparing invoices and invoicing data;
  • Customer service: so that we can help you quickly in case of questions and/or problems;
  • Sending surveys so that we can improve our services;
  • To carry out credit checks and to investigate, prevent and combat fraud;

Direct marketing

  • Sending newsletters, offers, promotions, etc. to prospects.  You can always unsubscribe from these via the opt-out in the e-mail;

Necessary for the functioning of our company

  • Improving our services;
  • Sending newsletters, offers, promotions, etc. to customers.  You can always unsubscribe from these via the opt-out in the e-mail;
  • Preventing abuse or improper use of our services;
  • Retaining personal data as evidence or for the purpose of instituting legal proceedings;
  • Retaining personal data in order to register attendance at/participation in events.

Meeting legal obligations

  • Meeting legal obligations (e.g. anti-money laundering and counter-terrorism legislation);

You are not obliged to share your personal data with us, but if you do not provide the requested personal data, we may not be able to provide you with the desired services and/or products.

Legal basis of the personal data?

The processing of personal data under point 3.1 is based on the performance of the contract or in order to take action, at the request of the data subject, prior to the conclusion of the contract.

The processing of personal data under 3.2 is based on the explicit consent of the data subject.

The processing of personal data under 3.3 is based on the legitimate interest of our company (only and when the legitimate interest of our company outweighs the interest of the data subjects).  The interests are further explained in section 3.3.

The processing of personal data under 3.4 takes place in order to comply with legal obligations incumbent on our company.

With whom do we share personal data?

We do not provide personal data to third parties, unless these parties are contractually bound to Inpico Nv or act on behalf of or subcontracted by Inpico Nv.

Naturally, we have made agreements with these parties regarding the protection of your personal data.

We also do not provide personal data to companies outside the European Economic Area, unless there is an adequacy decision, appropriate safeguards, binding corporate rules or transfers referred to in Article 49, paragraph 1 GDPR.

In the cases provided for by law, we are, however, obliged to communicate certain personal data to the defined authorities.

How long do we retain personal data?

We retain personal data only for as long as is necessary for the fulfilment of the purposes specified above.

As the retention period depends on the purpose, but also on the type of personal data, the retention periods vary.

Which rights do you have?

Right of access, rectification or erasure

  • Right of access
  • You have the right to access your personal data.  If you so request, we will provide you with a copy of the personal data processed.
  • Rectification
  • You have the right to have incorrect or incomplete personal data corrected.
  • Erasure
  • You have the right to ask Inpico Nv to delete your data in the cases specified in Article 17(1) GDPR, such as if you withdraw your consent or if you object to processing for direct marketing purposes.
  • In this case, Inpico Nv shall delete your data without delay, unless Article 17(3) GDPR applies.  For example, Inpico Nv will not have to delete your personal data if this is necessary in the context of complying with a legal obligation.

Right of restriction of processing that concerns you

You have the right to have the processing restricted in the cases specified in Article 19(1), e.g.: if the accuracy of the personal data is disputed.

Right to data portability

You have the right to request the personal data that you have provided to Inpico Nv or to have them transferred to another company.

Right to withdraw consent

You have the right to withdraw your consent at any time.

Withdrawal of your consent does not affect the lawfulness of the processing based on the consent before it was withdrawn

Right to lodge a complaint with supervisory authority

If you do not agree with the position of Inpico Nv, if you would have comments on the exercise of your rights, or if you believe that the processing of your personal data would not be in accordance with the legislation, including the GDPR, you can submit a complaint to the supervisory authority (https://www.gegevensbeschermingsautoriteit.be/).

Right to express an objection to processing

You always have the right to object to processing for the purpose of direct marketing.  In practice, you can do this by indicating the "opt-out" in the e-mails, after which you will no longer receive direct marketing e-mails from us.

Of course, it is possible that we may still contact you in connection with the execution of the agreement.

Furthermore, you also have the right to object to processing based on Article 6.1, (e) or (f) GDPR.

Cookies

Inpico Nv also uses cookies on the website.  Cookies are small pieces of information that are stored on your computer by the browser and allow us to register certain information about the users of the website (e.g., choice of language, duration of your visit to the website, ...).  These data help us to better adapt the website to your wishes, preferences and ease of use.
